VIE Customer Service and Operations Project Manager - Germany

Within the Pharmaceutical Operations department, the role focuses on customer service and project management. The primary responsibilities include processing and handling demanding/complex external and internal customer orders and inquiries that cannot be handled by 1st-level employees (currently managed by the department head), project work and support for Pharmaceutical Operations projects, and supporting inventory monitoring (including ensuring market supply through appropriate logistics planning).

Customer Service Tasks

 

  • Processing incoming orders (e.g., from pharmacies, wholesalers, and doctors)
  • Issuing invoices and credit notes
  • Handling complaints and returns
  • GDP-compliant documentation of the above activities
  • Providing telephone consultations for customers and forwarding inquiries internally and externally
  • Managing customer databases in SAP and Veeva
  • Overseeing the mailroom and managing weekly internal mail
  • Daily inspection of cleaning activities in the GDP area and related documentation
  • Daily monitoring of storage conditions in the GDP area
  • Documenting training sessions as assigned by QM and/or HR
  • Actively participating in training and further education as per the training matrix plan
  • Performing service tasks for other internal departments (e.g., Marketing)

 

Logistics & Supply Chain Tasks

In addition to the above tasks, the role supports employees in the logistics area by performing the following:

  • Assisting with goods receipt and incoming goods inspection
  • Quality control of medicinal products during goods receipt
  • Supporting picking controls and pre-picking activities
  • GDP-compliant documentation of the above activities
  • Monitoring logistics planning and product availability in SAP
  • Validating SAP-generated demand planning

Project Management Tasks

  • Creating and continuously tracking project plans
  • Obtaining and adhering to binding timelines and commitments
  • Presenting project status and assessing changes to the project
  • Interpreting warning signals, anticipating, and communicating project changes
  • Capturing and mapping KPIs

Requirements

Diploma : Master degree in sales, sales administration, project management.

Top priority is given to positive, customer-oriented collaboration with wholesalers, pharmacies, doctors, and internal colleagues at Stallergenes GmbH as well as with the parent organization Stallergenes in France.

The person needs to speak fluent German and have a valid car driving licence.

It is s a great opportunity to get a direct experience about the pharma operations department of our German affiliate (Customer Service, Supply, PM), our fast growing second European market after France.

The position is based at Kamp Lintfort, 30 mins from Dusseldorf
